Who we are

HomeHavn is a moving-concierge platform that real estate agents use to give their clients a guided, personalized experience after a home sale closes. This Privacy Policy explains how HomeHavn (“HomeHavn,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information. HomeHavn is based in Ontario, Canada, and handles personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Who this policy covers

There are two kinds of people whose information we handle, and it helps to be clear:

  • Agents — the real estate professionals who sign up for and use HomeHavn.
  • Clients — the home buyers, sellers, and renters an agent invites to their moving dashboard. If you are a client, your agent invited you and is your main point of contact; HomeHavn is the software behind the dashboard, and we handle your information to provide that service to you and your agent.

Information we collect

From agents. Your name, brokerage, email, and phone number; your account and sign-in details; your branding (for example, a headshot, brokerage logo, and email signature); and the list of clients you invite.

From and about clients. Name, email, and phone number; your move-out and move-in addresses (including map coordinates when an address is chosen through address search); your move or closing date; whether you own or rent; your progress through the moving checklist; and any documents you choose to upload to your dashboard. This information is usually entered by you or by your agent.

If you join the waitlist or book a demo. Your name, email, phone number, and brokerage, which we use to contact you about HomeHavn.

From Google. When you sign in with Google, we receive your name, email address, and a unique Google account identifier. If you grant permission, we also receive the ability to send email on your behalf through your Gmail account (the gmail.send permission).

Usage and device information. Technical and usage data such as your IP address, device and browser type, the pages you view, and the time you spend on them. We use this to operate, secure, analyze, and improve the Service.

Sensitive information: addresses and move dates

A client’s address combined with a move date can reveal when a home will be empty, so we treat this information with particular care. We limit who can access it, use it only to run the moving dashboard, and we never sell it or use it for advertising. We ask agents and clients to only enter what the move actually requires.

How we use your information

We use the information we collect to:

  • Provide, maintain, and improve the Service.
  • Create and authenticate accounts.
  • Send reminders and updates related to a move.
  • Let agents see whether their clients have opened their dashboard and how their move is progressing.
  • Protect against fraud, abuse, and security risks, and meet legal obligations.

What agents can see

Because HomeHavn is a tool agents use to help their clients, an agent can see the clients they invite: their contact details, the move details their dashboard is built around, whether and when they have opened their invitation link and dashboard, and the status of their move. Clients should expect their agent to see this. Agents cannot see the contents of a client’s Gmail or any account a client connects.

Analytics

We collect analytics about how the Service is used — including the pages you visit, how you navigate, and the time you spend — to understand usage patterns and improve the Service. Our own first-party measurement is tied to a random identifier stored in a cookie on your device (kept for up to one year) and does not store your IP address. We also use Google Analytics, which may set cookies and receive your IP address and usage data, as described in Google’s own privacy policy; we do not use it to determine your identity.

How we use Google user data

When you connect your Google account, HomeHavn requests permission to send email on your behalf (the gmail.send scope). We use this permission only to send moving-related messages and notifications from your connected account, and only when you initiate or authorize them.

We do not read, modify, delete, or store the contents of your mailbox. We do not use Gmail access for advertising, and we do not sell your Google data. You can disconnect Google at any time from your profile settings, or revoke HomeHavn’s access from your Google Account permissions page.

Email we send, and how we know it arrived

Two kinds of email leave HomeHavn. Account emails — sign-in codes, magic links, and account-change confirmations — are sent by HomeHavn through our email delivery provider. Move-related messages to clients, such as dashboard invitations, are sent from the connected Gmail account of the agent who invited the client.

HomeHavn never sends email from a client’s account and never asks a client for permission to send email on their behalf. Clients sign in with a secure link.

Some of the emails we send (such as dashboard invitations) include a tiny invisible image that tells us whether and when the email was opened. We use this only to confirm delivery and troubleshoot problems — for example, to know an invitation didn’t get lost — not for advertising. We keep a copy of these sent messages as part of our delivery records.

Limited Use disclosure

HomeHavn’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we share information

We do not sell your personal information. We may share personal information where required by law, or to protect the rights, safety, and security of our users or the public.

Service providers. Like most software, HomeHavn runs on trusted providers that process personal information on our behalf: cloud hosting and our database (Railway), file storage for uploaded documents and branding images, email delivery (Resend), and Google (sign-in, sending email through a connected Gmail account, address autocomplete, analytics, and web fonts). These providers may only use personal information to provide their service to us, and we require them to protect it.

Google user data is never shared except as needed to provide the features you request.

Where your information is stored

HomeHavn uses cloud hosting and service providers that may store and process personal information outside Canada, including in the United States. When information is handled in another country, it is subject to the laws of that country, and may be accessible to that country’s courts and authorities. We remain accountable for personal information we transfer to our providers and require them to protect it with comparable safeguards.

How long we keep your information

We keep personal information for as long as an account is active and for a reasonable period afterward to provide the Service, meet legal and accounting obligations, and resolve disputes. A completed move’s checklist and address history are retained only as long as they remain useful for that purpose, and are deleted or de-identified when they are no longer needed. Google OAuth tokens are deleted when you disconnect Google from your profile settings or delete your account; if you instead revoke HomeHavn’s access from your Google Account, the tokens stop working and we clear them when we detect the revocation. You can ask us to delete your information sooner (see your rights below).

Your privacy rights

Under PIPEDA and applicable Canadian privacy law, you can:

  • Ask what personal information we hold about you and request a copy.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete your information or close your account.
  • Withdraw your consent, subject to legal or contractual limits.
  • Revoke HomeHavn’s access to your Google account at any time.

To make a request, email us at steven@homehavn.ca. If you were invited by an agent and are not sure whether we hold your information, contact us and we will help. If you are not satisfied with our response, you have the right to complain to the Office of the Privacy Commissioner of Canada.

Security

We use reasonable technical and organizational measures to protect personal information and limit access to it. No method of transmission or storage is completely secure. If a breach ever creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.

Children’s privacy

The Service is intended for adults. It is not directed to minors, and we do not knowingly collect personal information from anyone under 18.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you.
